Summit Network Solutions LLC, doing business as “Summit Networks” (“we,” “us,” “our”), is a Colorado-registered business that provides IT, network, and cybersecurity services to customers in Colorado Springs, Florissant, Divide, and the surrounding area. This page explains what information we collect through this website and our phone/chat assistant, why, and how it’s handled.

Information we collect

We collect information you give us directly:

• Contact form / estimate requests: name, email, phone number, company name, and project details (service type, budget range, timeline, and similar) you enter when requesting a project estimate.
• Phone and chat conversations: when you call our number or use the “Talk to our Assistant” chat/voice widget, we collect the audio, a transcript, and/or the text of the conversation, along with your phone number (for calls) so we can recognize a returning caller and pull up a prior estimate.
• Appointments: if you book a time with us, we store the name, phone, email, and notes needed to keep that appointment.
• Basic site analytics: we use Microsoft Clarity to understand how visitors use this site (clicks, scrolling, page views). Clarity does not knowingly collect information that directly identifies you by name.
• Advertising measurement: if you arrive from a Google, Facebook/Instagram, or LinkedIn ad, those platforms may set a cookie or similar identifier so we can tell whether an ad led to a page view or an estimate request. We do not use this to sell a list of visitors.

How we use it

• To generate a preliminary project cost estimate and follow up with you about it.
• To schedule and manage appointments.
• To answer questions asked through our phone line or chat assistant.
• To improve this website and how our assistant responds to common questions.

Who we share it with

We don’t sell your information. We share it only with the service providers that help us run this business, and only as needed to provide the service:

• Microsoft Azure — hosts this website, our booking system, and our calendar.
• Vapi, Inc. and the AI model/voice providers it relies on — power our phone and chat assistant’s conversation, speech-to-text, and text-to-speech.
• xAI (Grok) — generates the automated cost estimate from the project details you submit.
• Microsoft Clarity — provides anonymized website usage analytics, including session recordings and heatmaps of how people use this site.
• Google — Google Analytics 4 and Google Ads conversion measurement.
• Meta (Facebook/Instagram) — Meta Pixel for ad delivery and conversion measurement.
• LinkedIn — LinkedIn Insight Tag for ad delivery and conversion measurement, once advertising on LinkedIn is active.
• Our email/calendar provider — delivers your estimate email and manages appointment scheduling.

We may also disclose information if required by law, or to protect the rights, safety, or property of Summit Networks or others.

Call and chat recording

Calls and chats with our AI assistant may be recorded and/or transcribed so the assistant can respond to you and so we can review and improve how it handles customer questions. Colorado law permits recording with the consent of at least one party to the call — that consent is ours, as the business operating the line, consistent with how most business phone systems and AI assistants disclose that calls may be recorded.

How long we keep it

We keep estimate requests and appointment information for as long as reasonably useful for following up with you and for our own business records. Call/chat transcripts are retained only as long as needed to support your request or improve the assistant, and are handled according to our AI assistant provider’s own data retention terms.

Your choices

You can ask us to tell you what information we have about you, correct it, or delete it, by contacting us using the information below. We’ll respond as quickly as we reasonably can.

YouTube and Google API Services

Our team uses YouTube API Services to publish the videos we make to YouTube channels we own (SwapStudio, Summit Networks and Zach and Rune) and to read those channels’ public statistics (views, likes and comments) for an internal dashboard. This is an internal tool: no customer or visitor signs in with a Google account through our sites, and we do not access, collect or store any other person’s YouTube data.

• What we store: an access credential for our own channels, kept in an encrypted key vault, and periodic snapshots of our own channels’ public statistics. We keep these for as long as we run the channels.
• Sharing: we do not share YouTube API data with anyone. Statistics about our own channels may appear in reports we produce for ourselves.
• Google’s policies: where our sites show or link to YouTube videos, the YouTube Terms of Service and the Google Privacy Policy also apply.
• Revoking access and deletion: the channel owner can revoke our tool’s access at any time from the Google security settings page. Anyone with a question about data we hold can contact us using the details below, and we will delete it on request.

Text messaging (SMS)

Summit Networks (Summit Network Solutions LLC) sends text messages only to people who text our business number or who agree on a call to receive texts. We use your mobile number only to reply to you and to send messages about your service request, appointments and quotes. We do not send marketing texts. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. We do not sell, rent or share your mobile number or text-messaging opt-in data with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third parties, except service providers that deliver our messages (such as our telecommunications carrier).

Referral partner links

If you reach our site through a referral partner’s link (a web address ending in ?ref= and a short code), we store that code in a first-party cookie named snet_ref for 90 days. If you later send us an estimate request, a security check or a trial sign-up, we record which partner referred you so we can pay them a referral fee, and we share your name, company and the fact that you contacted us with that partner’s account. The cookie holds only the partner code, is not shared with third parties, and is not used for advertising. You can delete it in your browser at any time.

Visit counting

Our website sets one first-party cookie, snet_vid, holding a random ID so we can tell a first visit from a return visit. It contains no name, email or other personal details, is not shared with other companies and is not used for advertising, and it expires after 13 months. Our own monitoring service keeps visit records (the random ID, the page, the referring site, IP address and browser type) for no more than 90 days. If your browser sends a Global Privacy Control signal, we don’t set the cookie. You can delete it in your browser at any time.
