Summit Network Solutions LLC, doing business as “Summit Networks” (“we,” “us,” “our”), is a Colorado-registered business that provides IT, network, and cybersecurity services to customers in Colorado Springs, Florissant, Divide, and the surrounding area. This page explains what information we collect through this website and our phone/chat assistant, why, and how it’s handled.
Information we collect
We collect information you give us directly:
- Contact form / estimate requests: name, email, phone number, company name, and project details (service type, budget range, timeline, and similar) you enter when requesting a project estimate.
- Phone and chat conversations: when you call our number or use the “Talk to our Assistant” chat/voice widget, we collect the audio, a transcript, and/or the text of the conversation, along with your phone number (for calls) so we can recognize a returning caller and pull up a prior estimate.
- Appointments: if you book a time with us, we store the name, phone, email, and notes needed to keep that appointment.
- Basic site analytics: we use Microsoft Clarity to understand how visitors use this site (clicks, scrolling, page views). Clarity does not knowingly collect information that directly identifies you by name.
- Advertising measurement: if you arrive from a Google, Facebook/Instagram, or LinkedIn ad, those platforms may set a cookie or similar identifier so we can tell whether an ad led to a page view or an estimate request. We do not use this to sell a list of visitors.
How we use it
- To generate a preliminary project cost estimate and follow up with you about it.
- To schedule and manage appointments.
- To answer questions asked through our phone line or chat assistant.
- To improve this website and how our assistant responds to common questions.
Who we share it with
We don’t sell your information. We share it only with the service providers that help us run this business, and only as needed to provide the service:
- Microsoft Azure — hosts this website, our booking system, and our calendar.
- Vapi, Inc. and the AI model/voice providers it relies on — power our phone and chat assistant’s conversation, speech-to-text, and text-to-speech.
- xAI (Grok) — generates the automated cost estimate from the project details you submit.
- Microsoft Clarity — provides anonymized website usage analytics, including session recordings and heatmaps of how people use this site.
- Google — Google Analytics 4 and Google Ads conversion measurement.
- Meta (Facebook/Instagram) — Meta Pixel for ad delivery and conversion measurement.
- LinkedIn — LinkedIn Insight Tag for ad delivery and conversion measurement, once advertising on LinkedIn is active.
- Our email/calendar provider — delivers your estimate email and manages appointment scheduling.
We may also disclose information if required by law, or to protect the rights, safety, or property of Summit Networks or others.
Call and chat recording
Calls and chats with our AI assistant may be recorded and/or transcribed so the assistant can respond to you and so we can review and improve how it handles customer questions. Colorado law permits recording with the consent of at least one party to the call — that consent is ours, as the business operating the line, consistent with how most business phone systems and AI assistants disclose that calls may be recorded.
How long we keep it
We keep estimate requests and appointment information for as long as reasonably useful for following up with you and for our own business records. Call/chat transcripts are retained only as long as needed to support your request or improve the assistant, and are handled according to our AI assistant provider’s own data retention terms.
Your choices
You can ask us to tell you what information we have about you, correct it, or delete it, by contacting us using the information below. We’ll respond as quickly as we reasonably can.
