Property management & real estate · Colorado Springs

IT for property managers and real estate offices.

Tenants call at night, owners expect their payouts on time, and closings move real money by email. We answer the phone, lock down email and accounts, and protect tenant and client records, at prices published on our site.

What property and real estate offices need from IT

Calls, money and personal data, all day.

Property managers and brokerages hold more sensitive personal information than most offices their size: applications, bank details, leases and closing documents.

After-hours calls answered

A leak at 2 a.m. still needs someone to know about it. An AI receptionist answers in your company’s name around the clock, and anything urgent is flagged at the top of the email we send you.

Wire and payout fraud

Fake “new wiring instructions” emails are among the costliest scams the FBI tracks. Email that cannot be forged in your name, plus a callback rule for any payment change, closes the usual opening.

Tenant and applicant data

Applications carry Social Security numbers, pay stubs and bank details. Access by role, multi-factor sign-in and a clear retention rule keep that data where it belongs.

Several offices, one setup

Leasing offices, a main office and agents working from home, on the same accounts and the same security baseline.

Smart locks, cameras and building systems

Door controllers, cameras and thermostats on their own network segment, so a cheap device cannot reach the office computers.

Staff and agents who move on

Accounts removed the day someone leaves, and shared portal logins moved into a password vault your company owns.

What we found when we checked property management and real estate businesses email in El Paso and Teller County

In September 2026 we read the public email records of 821 local business domains that receive mail. These are the numbers for property management and real estate businesses. No business is named, here or anywhere.

74 of 80

Property management and real estate domains could be impersonated by email (93%)

49

had no DMARC record at all, so nothing tells receiving servers to reject forged mail

were fully protected: SPF, DKIM and DMARC at enforcement

Start with the free email security check

Tenants, owners and buyers act on email that carries your name, including payment instructions. Of the local property management and real estate domains we checked, none was fully protected. The check reads your domain’s public records and emails a plain-English report to an address at that domain, so it reaches the business that owns it and nobody else. Nothing is installed and nobody signs in to anything.

If it finds problems, we fix them for a fixed $495 per domain, done within a week of your go-ahead, with a before-and-after report. Run the check → · Read the full local report →

Which plan fits a property management or real estate office

Property managers usually start with the phone; brokerages and larger management companies need the security work too. Published prices, a $299 one-time setup on the monthly plans, and engineer time only with your OK. Compare all plans →

An honest note on scope

We do not sell or replace property management or transaction software. We secure the accounts, email, devices and networks around it, and we tell you plainly when a problem belongs to the software vendor. For legal questions about tenant data, pair our work with your attorney.

Can the receptionist dispatch maintenance?

It answers, takes the details and flags anything urgent at the top of the email we send you; your team decides who goes. Callers can always leave a message for a person.

Does Colorado law require us to protect tenant data?

Yes. Colorado requires businesses that keep personal identifying information about Colorado residents to protect it with reasonable security, to have a written policy for disposing of it (C.R.S. 6-1-713 and 6-1-713.5), and to notify affected residents within 30 days of determining a breach occurred (C.R.S. 6-1-716). Your attorney can say exactly what applies; we handle the technical safeguards.

We already use Microsoft 365. Aren’t we protected?

Not by default. Microsoft 365 makes DKIM and DMARC available, but most businesses never turn them on. In our local research, only 2% of Microsoft 365 domains were fully protected.

Is there a contract?

Front Desk and Secure Office are month to month after setup. Project work is scoped and approved in writing, piece by piece.
